File Management: Upload Additional Files

When to Use This Feature
The File Management section is designed for manually uploading files that do not exist in the source system but are still required for reporting or analysis.
Common examples include:
- Manual price lists
- Safety stock spreadsheets
- Special exception overrides
- Offline master data files
How to Upload a File
- In the Admin Console, go to File Management from the left-hand menu.
- Select the Client / Organization (if applicable) using the dropdown in the top-right.
- Click Upload File.
- A modal window titled Upload Client File will appear.
- Complete the fields:
- File β Select the document you want to upload from your computer
- Category β (Optional) Enter a label to group or classify the file (e.g. βPricingβ, βManual Safety Stockβ)
- Click Upload to finalize.
Once uploaded, the file will appear in the list and be available to OWL processes that reference manual data inputs.
Recommended Naming Convention
To ensure consistency and traceability, we recommend naming files using the following format:
Client_FileType_YYYYMMDD.extension
Examples:
CocaCola_ManualSafetyStock_20250210.xlsx
- This format helps track file versions and ensures files can be easily identified across teams and audits.
Best Practices
- Only upload files that supplement source system data β not duplicates of existing integrations.
- Use clear and consistent categories when possible to improve file management.
- Keep file versions updated and remove outdated uploads when no longer needed.
